1. Purpose

HSJ Host utilizes Artificial Intelligence (AI) and Large Language Models (LLMs) to enhance our products, improve customer experience, and increase operational efficiency. This policy outlines how AI is responsibly integrated into our systems while ensuring the protection of customer data and intellectual property.

2. Scope

This policy is applicable to all AI systems operated by HSJ Host Pty Ltd and its sub-brands, including hsj.dev. It also covers any third-party AI services that are integrated within our platforms, support tools, or internal workflows.

3. Principles

Our AI practices are guided by the following principles:

  • Transparency: Customers have the right to know when AI is utilized in their interactions or hosted services.

  • Privacy & Security: No customer data is used to train external AI models without explicit consent.

  • Accountability: Human oversight is maintained for all AI-driven actions that impact customers, billing, or security.

  • Fairness: AI tools must operate without bias and comply with Australian law and HSJ Host’s Code of Conduct.

  • Openness: HSJ Host encourages open interoperability with trusted AI and LLM platforms to foster innovation and customer choice.

4. Use of Large Language Models (LLMs)

HSJ Host supports open collaboration with LLMs for various applications, including:

  • Technical support automation and documentation generation.

  • Developer assistance and code optimization.

  • Compliance, cybersecurity, and ISO framework alignment.

  • Customer education, onboarding, and self-service tools.

LLMs may be operated in two primary ways:

  • Internally: Utilizing locally hosted or private instances (e.g., Ollama, GPT Enterprise, or open-source models).

  • Externally: Through secure API integrations (e.g., OpenAI, Anthropic, or other providers under data-processing agreements).

We encourage developers and customers to integrate approved LLMs within their hosting environments, provided these integrations:

  1. Do not breach our Acceptable Use Policy.

  2. Comply with Australian Privacy Principles (APPs).

  3. Include disclosure if AI content is publicly generated or published.

5. Data Handling and Privacy

  • No customer files, credentials, or private communications are shared with third-party AI services without consent.

  • AI logs and outputs are treated as confidential under HSJ Host’s Privacy Policy.

  • Training data for internal AI systems is anonymized and stripped of personally identifiable information (PII).

  • Customers may request deletion of any AI-generated records related to their account.

6. Human Oversight

All AI-driven actions such as security alerts, content moderation, or provisioning recommendations are reviewed by qualified staff before execution, especially when they may affect customer systems or billing.

7. Continuous Improvement

HSJ Host maintains an internal AI Review Board to assess:

  • Fairness, bias, and explainability of AI systems.

  • Compliance with ISO 27001, ISO 9001, and Australian cybersecurity guidelines.

  • Ethical impact and risk mitigation strategies for new AI deployments.
